Spam email is a pain in my
business! Are
you sick and tired of sifting through the
spam folder of your email account, for
long periods of time, to spot just
ONE legitimate
email?
You know....that
email that you have been impatiently expecting for
DAYS!! Are you fed up with receiving bold,
blatant emails and headlines such as
"product recommended by your friend
John", or "make $1,000,000.00 at the
push of a button", or "get Viagra
here", and other annoying messages??
If any of these
problems sound like your situation, you may want to keep
reading to learn a few BIG tips on preventing spam email
in your business. Here are five PROVEN tips to
prevent
spam email: -- Always use an alternate & "unimportant"
email address Depending on your
job description and your status (business owner or an
employee), you will most likely share your email address
with many websites, people and companies. This includes
webinars, newsletter subscriptions, business listings,
search engines as well as many other possibilities. At
any rate, constantly "giving out" your personal
information can eventually lead to
disaster. Many companies utilize a policy
that dictates how your personal and/or business
information is used, including how it will NOT be used
or shared with others. The problem is, there are many
companies that you cannot rely on, when it comes to your
data being safe. Unfortunately, several unscrupulous
companies will share your contact information with other
parties, which will cause the amount of spam you receive
to increase significantly.
ALWAYS create and use a
"throw-away" email address when prompting in an online
registration (when possible). Having an alternate
address can noticeably work towards preventing spam
email in your
business! -- Pay for Private
Registration" when registering a
domain One big mistake made by
business owners or website owners who register a domain,
is failing to register that domain "privately", so
his/her contact information remains hidden to the
general public. Believe it or not, registering a domain
name in this fashion is a very large piece of the
puzzle, in your plan of preventing spam
email. Whenever a domain name is
registered, the contact information of the person who
registered the domain, can be seen by anyone who chooses
to search. In saying this, someone could easily
query your contact information, by visiting a site such
as www.whois.com and enter your domain URL to receive all
of the contact information that was given to the
registrar (i.e. Godaddy) during sign-up.
Could you imagine a
spammer visiting such a website, and obtaining your
name, email address, street address etc; then spamming
the LIFE out of you?! When you
register "privately", a spammer will not have access to
your contact information when querying on a site such as
whois. Please note that - although your information will
be "hidden", a savvy spammer has several tactics to use
to "work around" the private registration, making it
very important to utilize ALL of these tips in
preventing spam
email. -- Use the "high" setting
for your spam/junk email
filter The spam filtering
feature is usually used incorrectly by people, or it is
not used at all. Although spam filters vary in name
(which depends on who authored the software), the
purpose remains the same; preventing spam email from
reaching your inbox. A filter that is set to a low
setting, may allow many spam email to pass through into
your inbox.
A filter that is set too
high, may not allow many of your legitimate emails to
reach your inbox at all. I recommend that you set
your spam filter to "high", instead of a low or medium
setting. Setting your filter to high will allow most if
not all of the spam email to be filtered out, while also
capturing several legitimate emails as well.
One good workaround to use
in conjunction with the "high" setting, is to create
"rules" within your email program, which will mark
certain domains and email addresses as "safe", thus
passing them along to your inbox. If you have a junk
email filter that hasn't been activated or is set to
"low" you should look into changing that setting TODAY,
to help in preventing spam email from taking over your
email account! --
Avoid creating predictable email
addresses Spammers can be
very resourceful sometimes! Pretend for a moment that
your company has published your first and last name on
the website (but no email address listed), and your name
is Betty Doe. Since the spammer has located the name of
a person at the company, he or she can try different
versions of your name, such as: bdoe@yourcompany.com, or bettydoe@yourcompany.com, or betty@yourcompany.com. Guess what...if ANY
of the email addresses listed above ARE actually yours,
be on the lookout for a boatload of spam soon to come!
It is ALWAYS important to remember that a spammer can
many times "discover" what your email address is, by
knowing your name. Choosing NOT to create a
"first-last-name-based" email address when your name is
listed on a website, is a smart move in preventing spam
email. -- Do not store
"cookies" within your internet
browser The last tip that I
recommend in preventing spam email, is to change the
"history" settings of your web browser. Cookies are
files that are stores on your computer's hard drive when
you visit a website. Cookies allow websites to load
faster, and is what makes a site "remember" details
regarding your online surfing, such as the day and time
of your last visit to a particular site.
Many internet users allow
cookies (part of the browser history) to remain on a
computer for 30, 60 or 90 days or more. Believe it or
not, storing cookies can actually contribute to
receiving MORE spam email! Cookies are
"read" by websites that you visit as well as being read
by malware that could exist on your computer without you
knowing. Cookies contain details on your online browsing
and other possibly sensitive information that you don't
want the general public knowing which can include: what
websites you frequent, how long you visit any particular
site, what products you were interested in on the
website, the theme of the website(s) and
more. Who would actually WANT to give a
spammer access to their sensitive and detailed
information? What would you think if you constantly
received hoards of email related to the items that you
like to purchase and the sites that you frequent? Sounds
BAD doesn't it?
ALWAYS remember to delete
the cookies stored on your computer regularly,
which can usually be done by not
allowing your browser to store any history at
all.
